The income approach is the most powerful valuation method for commercial, rental, and income-producing properties. When to Use the Income Approach
Use the income approach when your property generates rental income — apartment buildings, office buildings, retail centers, industrial/warehouse space, strip malls, and single-tenant net lease properties. The income approach is also appropriate for properties where comparable sales are scarce.
The income approach is generally NOT appropriate for owner-occupied single-family homes. Assessors and appeal boards will give it little weight for residential properties unless comparable sales are truly unavailable.
Step 1: Enter Your Gross Potential Income
Gross Potential Income (GPI) is the maximum income your property could generate if 100% occupied at market rent. Enter the total leasable square footage and the market rent per square foot per year (not your actual rent if it differs from market). Market rent can be found from CoStar, LoopNet, or comparable lease transactions in your area.
Step 2: Apply Vacancy and Collection Loss
No property is 100% occupied 100% of the time. Apply a market vacancy rate appropriate for your property type and submarket. Typical ranges: multifamily 5–8%, office 10–20%, retail 8–15%, industrial 4–8%. If your property has above-average vacancy, use your actual vacancy rate — it supports a lower value.
Step 3: Add Other Income
Include any income beyond base rent: parking income, laundry income, antenna/cell tower leases, storage income, late fees (use a conservative estimate). Do not include income from services you provide (cleaning, valet) — only income from the real property itself.
Step 4: Calculate Net Operating Income (NOI)
NOI = Effective Gross Income − Operating Expenses. Operating expenses include: property management (5–10% of EGI), insurance, maintenance and repairs, utilities (if landlord-paid), property taxes (use the current bill), and reserves for replacement (typically 1–3% of EGI). Do NOT include debt service (mortgage payments) — NOI is calculated before financing.
The most common mistake: including debt service in operating expenses. NOI is a pre-financing metric. Debt service is a financing decision, not a property characteristic.
Step 5: Select the Capitalization Rate
The cap rate is the most critical — and most contested — input in the income approach. The calculator provides market cap rates by property type and metro area based on recent sales data. A higher cap rate produces a lower value; a lower cap rate produces a higher value.

Step 6: Calculate Indicated Value
Indicated Value = NOI ÷ Cap Rate. This is the market value indicated by the income approach. Compare this to your current assessed value. If the indicated value is lower than your assessed value, you have a strong income approach argument for a reduction.
Present the income approach alongside comparable sales to give the board two independent lines of evidence pointing to the same lower value. Convergence of two approaches is very persuasive.
